The role:   Executive Assistant

We are looking for an Executive Assistant to support our Chief Commercial Officer in our Dublin office.

The purpose of our Executive Assistant position is to serve as the central point of contact and support of our Chief Commercial Officer and their leadership team across multiple time zones to achieve their business objectives. This role requires you to work successfully in a team environment and build effective relationships with other Assistants throughout the organisation.

This role follows a hybrid approach to working, allowing you to combine working from home with working in our modern offices. These discussions are between you and your manager to find the best pattern for you both! We will kit you out to work from home but know that working as a team is what makes us great and spending quality time together is essential for keeping us mission-aligned.

Why we need you

We are looking for someone who is forward-thinking and motivated, with a proven history of high performance in a PA or EA role, and the ability to operate under pressure. You will also be challenged by business related projects depending on the need and have constant exposure to senior leaders within the company. Our ideal colleague will;

  • Provide executive-level support, including maintaining executive’s calendar and schedule, coordinating complex travel arrangements and maintaining accurate files.

  • Be a key member of the Chief Commercial Officer’s leadership team. Attending meetings to take minutes for tax purposes, but also contributing to discussions, challenging and supporting colleagues and keeping the team on track with commitments.

  • Be responsible for prioritising the workload of the Chief Commercial Officer and delegate where appropriate, identifying upcoming needs and seeking to utilise their time in the most efficient manner.

  • Lead on the organisation of key people sessions, such as the Commercial Team Talk, Commercial Leaders Monthly and People Drop in sessions. You will own content, suggest topics to cover and arrange speakers to attend sessions from both within the division and the group.

  • Deliver value add contribution outside of traditional EA role. Spotting opportunities for us to improve as a Commercial function, discussing with and influencing the Commercial leadership team, gaining support and buy in through to execution. An example of this could be employee engagement.

  • Work closely with wider team of Assistants who support the Commercial LT members, across locations and timezones.

  • Perform tactical and strategic administrative support tasks.

  • Prepare scheduled meetings including agendas, creating minutes and room bookings/ video conferencing with any required material or reports ahead of time.

  • Represent the Chief Commercial Officer at events/meetings when required.

  • Build and maintain strong working relationships with third parties and key contacts.

  • Work closely with the FP&A and Procurement teams to ensure the relevant budgets are being tracked and managed.

  • Work closely with Comms team to support the Commercial division, PokerStars and Betfair International internal comms strategies.

  • Work with internal and external contacts on a day-to-day basis.

  • Act as an independent project manager for ad hoc or select important initiatives; with the opportunity to collaborate with business sponsors and partners across the group to drive delivery from start to finish

  • Facilitate effective relationships between the Chief Commercial Officer and their direct reports, with an organised and efficient information flow between them.

  • Support PokerStars LT with team admin tasks. Attending weekly meeting, taking minutes, capturing actions and scheduling sessions such as Team Talks, or playbacks to BIPS ExCo

Who we’re looking for

Your experience:

  • Proven experience of success in a PA or EA role

  • Experience of working in fast paced, ever changing organisations which have required you to hone time management and organisational skills.

Your skills:

  • Ability to build positive relationships and work collaboratively across a range of partners and stakeholders across different levels and geographies.

  • Demonstrated experience with MS Word, Excel, Outlook, PowerPoint and related programs.

  • Ability to pivot skillset, for example from minuting meetings for tax purposes, to understanding and contributing to business led discussions.

  • Ability to identify priorities and effectively diary manage appropriately, delegating work to others where needed.

  • Detail orientated and deadline driven.

  • Ability to balance multiple tasks simultaneously, solve problems, manage and meet deadlines and maintain a high quality of work.

  • Be forward thinking with excellent planning skills.

  • Excellent interpersonal and communication skills whilst remaining discrete.

  • Ability to work in the office as required and travel when required to other office locations.
